Information Protection

Information protection in Microsoft 365 is a comprehensive suite of tools and features designed to safeguard sensitive data across an organization’s digital environment. It ensures that critical information is secure, compliant with regulations, and only accessible to authorized users.

Central to Microsoft 365’s information protection is Microsoft Purview, a platform that offers capabilities like data classification, labeling, and encryption. Through data classification, organizations can identify and categorize sensitive information, such as personally identifiable information (PII), financial records, or intellectual property. Labels can then be applied to this data, defining specific protection policies, such as encryption, access controls, and retention rules.

Microsoft 365 also integrates with Azure Information Protection (AIP) to extend these capabilities, allowing for persistent protection of data, even when it is shared outside the organization. This ensures that sensitive information remains secure regardless of where it is stored or who it is shared with.

Additionally, Microsoft 365 supports compliance with various regulatory requirements, such as GDPR, HIPAA, and CCPA, by offering built-in auditing and reporting tools. These tools help organizations monitor data access and movement, providing visibility and control over sensitive information.

In essence, information protection in Microsoft 365 enables organizations to safeguard their most valuable data, ensuring security, compliance, and peace of mind.

Information Protection Features

  • Classification and Labeling: Allows organizations to classify and label data based on its sensitivity. Labels can be applied manually by users or automatically based on content inspection.
  • Protection: Once labeled, data can be encrypted, and access controls can be applied to ensure that only authorized users can access the information.
  • Unified Labeling: Provides a consistent labeling experience across Microsoft 365 applications and services. Labels defined in MIP can be used across Word, Excel, PowerPoint, Outlook, SharePoint, and OneDrive.
  • Data Loss Prevention (DLP): Helps prevent the accidental sharing of sensitive information. DLP policies can be configured to detect and block the sharing of sensitive data, such as credit card numbers, social security numbers, and other personally identifiable information (PII).
  • Cloud App Discovery: Identifies and monitors the use of cloud applications in the organization, helping to detect shadow IT and assess risk.
  • Conditional Access App Control: Extends conditional access policies to cloud applications, enabling real-time monitoring and control over data in the cloud.

Email Encryption: Provides tools for encrypting email messages to ensure that only intended recipients can read the content. This is useful for protecting sensitive information sent via email.

  • Retention Policies: Allows organizations to define retention policies for data to ensure compliance with legal and regulatory requirements. Data can be retained for a specified period or automatically deleted after a certain time.
  • Records Management: Helps manage the lifecycle of records, including declaration, retention, and disposal of records.
